Who This Checklist Is For
I'm the person you call when a jobsite needs equipment running by tomorrow morning. I've coordinated 200+ rush equipment deployments over 11 years, including same-day turnarounds for utility contractors and municipal clients. Most of those jobs involved compact equipment—usually a mini excavator that nobody on site had actually operated before.
This checklist is for that situation: you've got a mini excavator on the trailer, the clock is ticking, and you need to move dirt without wrecking the machine or the site. I've written it for operators who maybe drove a full-size excavator years ago, or who are stepping up from a skid steer, or who just need a refresher because it's been a while.
Seven steps. Roughly 40 minutes before you turn the key. Not glamorous work—but here's the thing: I've seen more projects blown by a skipped 10-minute walkaround than by any hydraulic failure.
"5 minutes of verification beats 5 days of correction." That's the line I tell every new operator on my crew. It's not clever, but it's kept us out of trouble more times than I can count.
Step 1: Confirm the Machine Matches the Job
Before you do anything, verify the machine is right for what you're about to do. Mini excavators come in sizes from roughly 1 to 10 metric tons. A 1.7-ton unit has no business digging a foundation for a commercial building, and an 8-ton unit will chew up a residential yard in five minutes.
If you're working with a Komatsu 55 excavator—the PC55MR-5 or similar—you're in the 5-ton class. That's the sweet spot for utility trenching, landscaping, and residential site prep. It's small enough to fit through a standard gate but heavy enough to handle a 24-inch bucket in clay.
Quick check: Does the machine have the right bucket? A 12-inch trenching bucket and a 24-inch digging bucket are not interchangeable. If you're not sure, ask. I've seen a $2,000 concrete repair bill from someone who "assumed" the bucket was fine.
Checkpoint: Machine size, bucket size, and attachment match the task. If any of those are wrong, stop and fix it before you start.
Step 2: Walk Around the Machine—Cold
This is the step most people skip. Do it anyway. Walk a full circle around the machine before you touch the controls.
Look for:
- Hydraulic leaks—check under the boom, around the cylinder rods, and under the machine. A few drops are normal; a puddle is not.
- Track tension—tracks should have about 1-1.5 inches of sag in the middle. Too tight wears out the drive motor. Too loose and you'll throw a track.
- Cracked or frayed hoses—especially on the boom and bucket cylinder.
- Missing or damaged teeth on the bucket.
- Fluid levels—engine oil, hydraulic oil, coolant, and fuel.
I'm not a hydraulic systems engineer, so I can't tell you the exact pressure specs for every machine. What I can tell you from a field perspective is that 90% of the "machine failure" calls I've gotten in 11 years trace back to something that was visible in a walkaround the operator didn't do.
Checkpoint: No active leaks, tracks at correct tension, fluids at operating levels.
Step 3: Get in the Seat and Set Up Your Controls
Now you can get in. But don't start it yet.
First, adjust the seat so your back is against the backrest and your feet can reach the travel pedals without stretching. Most mini excavators have a lever under the seat for fore/aft adjustment.
Next, check the control pattern. This is the one that catches people. There are two common patterns:
- ISO (excavator) pattern: Left joystick controls swing and arm; right joystick controls boom and bucket.
- Backhoe pattern: Left joystick controls swing and boom; right joystick controls arm and bucket.
If you learned on a backhoe, the ISO pattern will feel wrong at first. And if the machine has a pattern changer, make sure it's in the position you expect. I once watched a guy spend 20 minutes trying to figure out why the boom wouldn't lift—he was in the wrong pattern.
Checkpoint: Seat adjusted, control pattern confirmed, safety belt on.
Step 4: Understand the Hydraulic Lockout
This is the step that most people skip—and it's the one that matters most for safety.
Every mini excavator has a hydraulic lockout lever or switch. When engaged, it disables all hydraulic functions. When disengaged, the machine is live.
Here's the sequence I use every single time:
- Start the engine with the lockout engaged.
- Let it idle for 2-3 minutes. Cold hydraulic oil doesn't flow well, and cold starts are hard on the pump.
- With the lockout still engaged, move both joysticks through their full range. You should feel nothing. This confirms the lockout is working.
- Disengage the lockout and test the controls slowly.
If you skip step 3, you have no way of knowing if the lockout is actually functioning. And if it's not, you're one accidental bump away from a serious problem.
Checkpoint: Lockout confirmed working before you disengage it.
Step 5: Test the Controls in Open Space
Before you dig, find a clear, flat area—at least 20 feet in every direction—and run each function through its full range. Boom up, boom down. Arm in, arm out. Bucket curl, bucket dump. Swing left, swing right. Track forward, track back.
You're listening for two things: smooth operation and unusual noises. A whining sound that gets louder as the machine warms up is normal. A grinding or knocking sound is not. Stop and investigate.
This is also where you'll discover if the travel pedals are stiff or the swing brake is grabby. Better to find that out in a clear area than next to a foundation wall.
Checkpoint: All functions operate smoothly through full range. No unusual noises.
Step 6: Learn the Digging Technique (Not Just the Controls)
Operating the joysticks is one skill. Digging a clean trench is another. Here's the short version I give every new operator:
- Position the machine so the bucket is at a comfortable distance—about 4-6 feet in front of the tracks. Too close and you'll pile dirt on the machine. Too far and you'll lose digging force.
- Keep the blade down on the front of the machine for stability. This is counterintuitive for people who learned on backhoes, but it makes a huge difference.
- Use the arm (stick) for power, not the bucket. The bucket is for scooping, not for digging. If you're curling the bucket to break ground, you're doing it wrong.
- Smooth is fast. Jerky movements waste time and wear out the machine. The operators who look slow—the ones who move like they're doing tai chi—are usually the fastest over an 8-hour day.
I'm not a certified instructor, so this isn't a substitute for hands-on training. What I can tell you from a deployment perspective is that operators who master smooth operation have fewer breakdowns and fewer callbacks.
Checkpoint: You can dig a consistent-depth trench without jerking the controls.
Step 7: Shut Down and Secure
When you're done, don't just turn the key off and walk away. Do this:
- Park the machine on level ground if possible. If you have to park on a slope, lower the bucket and blade to the ground.
- Idle the engine for 2-3 minutes to let the turbo cool (if equipped).
- Engage the hydraulic lockout.
- Remove the key.
- Fuel up before you park it. A machine with a full tank doesn't have condensation issues, and the next operator won't have to make a fuel run.
Checkpoint: Lockout engaged, bucket and blade on ground, key removed, tank full.
What I'd Do Differently Next Time
Two things I've learned the hard way:
One: Don't assume the job site is clear. I once watched an operator swing the house into a Westinghouse generator that was hidden behind a pile of dirt. Nobody got hurt, but the generator was a write-off and the project lost three days. Walk the swing radius before you start.
Two: Don't buy a used machine without a demonstration. I've seen Komatsu forklifts for sale in Pearland that looked great in photos and turned out to have transmission issues. Same goes for mini excavators. If the seller won't let you run it through a full cycle of operations, walk away.
And one more thing: if you're thinking about hauling your machine with a Hummer truck or similar vehicle, check the towing capacity first. A 5-ton excavator plus a trailer is well over 10,000 pounds. Half-ton pickups don't cut it.
This approach worked for us, but we're a mid-size operation with predictable project schedules. If you're a solo operator doing one-off jobs, your mileage may vary—especially if you don't have a dedicated maintenance shop behind you.
The bottom line is simple: the 40 minutes you spend on this checklist is the cheapest insurance you'll ever buy. Not dramatic. Not exciting. Just the difference between a finished job and a delayed one.
